Navigating the Challenges of Corporate Event Planning in Construction

One of the biggest challenges in organising a corporate event is selecting the perfect date. Balancing the availability of key stakeholders while coordinating with construction timelines can feel like solving a complex puzzle.

This was precisely the case for an event held at Three Oaks on the Isle of Wight. With construction teams working alongside a complex network of supply chain partners, there were countless moving parts to consider. From securing senior team schedules and managing February’s unpredictable weather to aligning with build milestones and supply chain availability, the logistics were anything but simple. Careful planning was essential to ensure everything ran smoothly.

Meticulous Planning for a Flawless Event

Our role was to keep everything on track and ensure all partners were informed so that, by event day, we wouldn’t be faced with any surprises. Fortunately, the weather was on our side. Large timber frames had to be lowered into place by crane, leaving little room for error. With guests in attendance, local press eager to cover the event, and the catering, photographer, videographer, drone operator, and social media teams all in position, we were ready to capture every moment.

A Bold Goal for the Day

The objective was ambitious: construct the framework for three timber terraced houses, including walls and roofs, in just one day. The date was set for February 11, and it was all systems go.

Gibbs Timber Frame, a local supplier based on the island, played a crucial role in the event’s success. The contractor, Captiva Homes, faced the monumental task of ensuring the site was ready, with guest safety as the top priority. Our client, SNG, owns Three Oaks and is responsible for delivering 145 much-needed, affordable homes for the Isle of Wight.

The Role of Oracle in Event Success

Oracle’s responsibility was to keep everything running smoothly – updating the event plan daily, coordinating numerous meetings and calls, securing press release approvals, and working closely with the photographer and videographer to capture the best possible content.

Investing time in engaging local media paid off. On event day, a TV crew from BBC South, IOW Radio, and the local newspaper were all in attendance, eager to witness the creation of these sustainable homes firsthand. The news got picked up by trade titles, including The Construction Index.

Overcoming Challenges on the Ground

One of the biggest challenges was keeping everyone on schedule, particularly when it came to ensuring speeches went uninterrupted. Sometimes, that meant stepping in and temporarily halting site machinery so speakers could be heard—a decision that is never particularly popular with site managers!
